Job Title: Procurement & Fulfillment Coordinator
Location: Kingdon Timber Mart (Lakefield)
Reports To: Procurement Manager / Operations Manager
Position Overview
The Procurement & Fulfillment Coordinator supports multiple store locations by coordinating product sourcing, inventory replenishment, and inter-branch order fulfillment. This role ensures products move efficiently between vendors, distribution, and store locations to meet customer and project needs. The position requires strong attention to detail, communication skills, and an understanding of building materials, hardware, and seasonal product lines.
Key Responsibilities
Procurement & Replenishment
- Process and track purchase orders for stock and special orders through vendor and buying group systems.
- Ensure all orders are placed accurately and delivered to the correct store or warehouse location.
- Maintain and update product data, costs, and supplier information in the POS system.
- Support inventory forecasting and reorder levels in coordination with department managers and store leads.
Fulfillment Coordination
- Coordinate inter-branch transfers and deliveries to fulfill customer and store orders.
- Communicate with store teams to confirm product availability, substitutions, and delivery timelines.
- Work closely with the yard, warehouse, and logistics teams to ensure timely fulfillment of orders.
- Monitor open orders and backorders to ensure prompt resolution.
Vendor & System Support
- Work with preferred vendors and buying group programs (e.g., Home Building Centre DC, TIMBER MART, etc.) to source product efficiently.
- Assist with vendor credits, shipping discrepancies, and return authorizations.
- Ensure accurate pricing and product setup across all store locations.
Administrative Duties
- Maintain purchasing and fulfillment records for audit and reporting purposes.
- Communicate order status, delays, and ETA updates to sales and management teams.
- Support project and special-order coordination for contractors and store accounts.
- Assist with seasonal product rollouts, flyers, and promotional planning.
Qualifications
- 2+ years of experience in procurement, purchasing coordination, or fulfillment (preferably in the building supply, hardware, or retail industry).
- Familiarity with building materials, hardware, and lumber products.
- Strong data entry and organizational skills with attention to accuracy.
- Proficiency in Microsoft Office (Excel, Outlook) and familiarity with POS/inventory systems (e.g., Home Hardware SIGMA, Epicor, or equivalent).
- Excellent communication and time-management skills.
- Ability to manage multiple priorities across several store locations.
